I would like to let you know that granting our company with $5000 will create a very significant impact on the present and future competitiveness. The industry which we are operating in is becoming so competitive and without careful monitoring its stiffness, we will not be able to maintain our market share. We have longed for empowering our employees with communication skills in some critical areas. Because of financial constraint we are in at the moment, the plan has not been operationalized. As communication is the solution to many organization problems, we are planning to equip our employees with skills that will help them to communicate effectively with each in a business-like manner and to emphasize on the necessity of preparing business reports in a formal manner.
Our company, ABC, is an organization which is built on the understanding that building a suitable business environment will be the most effective way that will keep the organization vibrant and competitive in the market. Further, this organization is based on the understanding that the suitable for tackling any problem in the organization is to get prepared before the fall of the likely problem. We cherish creating a solid understanding of key areas in the organization especially those areas which will make our employees more competitive not only within our organization but in the entire market. In our organization, creating a suitable relationship between employees and the entire organization stakeholders is prioritized as this will keep the entire team focused on the same goals of the organization.
With the increase of social media platforms and continue embracement technological communication among stakeholders in our organization, effective communication is becoming a problem. Many of our employees have lost the meaning of communicating in a business manner and the general importance of communication is getting washed away.
In most cases, communicating business based deals among employees in our organization has been confirmed to be influenced by informal attributes (Keech, et al., 2015). Many employees are getting used to using informal abbreviations, short forms of words slang among others. In other cases, the language that is being used to prepare business statements is not formal making it difficult for respective users to understand the intent of the message communicated. It is highly probable that in a few years to come, we will be experiencing ineffective communication within the internal and external environment. This problem will affect the conducive business environment which that has been prevailing in our organization and it will further affect the reputation the organization has built for many years. To counter this inherent problem, it is high time we should train our employees about the importance of effective communication in the business.
Importance of the training
This training is geared towards imparting employees with skills that will help them in the following areas
i. Formulation of workable strategies to the communication barrier
Formulation of strategies that will be applied in dealing with communication barriers among the diverse employees in our organization is a great challenge. Some of the available challenges may influence the occurrence of employee divisions that will act against the attainment of common organization goal. These training will help our employees to develop strategies that will aid in removing the barrier to communication. In addition, this training will increase the understanding of strategies available which can be used to establish and nurture effective communication between employees, customers, and other organizational stakeholders.
ii. Enhancement of interpersonal communication
Because of the different cultures of our employees, there are a number of instances where interpersonal communication fails. Some communities where our employees come from have cultural practices that alienate some communication manners. Some of them disregard giving attention to female employees while others prioritize distance proximity when communicating with each other. With this training, emphasize will be made in relation to the effectiveness of interpersonal and organizational communication relationship.
iii. Creating a suitable workplace climate
Creating a conducive work environment is part and parcel of every organization. It is one of the requirements that every manager will need to keep monitoring. The conducive workplace will reduce cases of distraction, increase the sense of togetherness and this will lead to the creation of teamwork motivation among all the employees. This training will be important to Improving workplace communication climate and the general teamwork spirit to the attainment of the organization objectives. This study will also increase skills in designing, creating, sending and receiving various forms of communication messages.
iv. Increasing customer satisfaction
Clients not only to get what they need from the supplier will also need to feet as part of the organization community (Austin &Pinkleton, 2015). They need to feel like part of the key stakeholders of the company. Through effective communication training, employees will be able to enhance customer satisfaction as the manner of idea exchange with customers will indicate that the client`s visit is pleasurable. In such a situation, the customer will continuously pass by the organization even in a case when not making purchases just to feel the climate instilled in the organization. This training, therefore, will create a satisfaction feeling through means such as supportive and productive business-like relationship.
v. Reduction of barriers affecting business performance feedback among
At some points, some organization activity may fail to be correctly implemented because of misunderstanding of the feedback made. Use of inappropriate communication will create a different interpretation as the two parties do not understand the intent of the message or may have interpreted the information wrongly. With this training, employees will be provided with insight into measures that will the reduction of barriers affecting business performance feedback among employees in different levels and further will cultivate the willingness among employees in giving thorough and thoughtful feedbacks in relation to their performance.
Description of the training program
This training will involve all employees in our organization. It will cover the manner of communication among employees themselves, employee and management and between employees and clients. This training will further emphasize the formal ways of structuring business statements and the importance of remaining formal. This training is expected to take 3 days and it will cover all employees from all department totaling 322 members and four trainers. The training will cost the organization as follows
